For those of you who commonly report Use Tax with Reason Code #2 (Inventory Withdrawal), you will be pleased to know that we have gotten a clarification from the GTC regarding the way they want this entered into the XML files for your ST-3 uploads.

As this information has only just come to us a few moments ago, there won’t be time to get it included and tested before the 20th of this month (May). There will be a new release of both S-TaxPro and S-TaxPLUS coming out by the end of this month that will reflect these changes. For this reporting period, you may use the Reason Codes #3 and #4 (they work in tandem) or you may contact us for additional help and information.

We continue to work closely with the technical staff at GTC to ensure full compliance with all sales and use tax reporting requirements and we appreciate their cooperation in resolving this issue.

The 2nd Quarter release for S-TaxPro and S-TaxPLUS has been sent to all current subscribers. If you have not yet received your update, please contact us right away. The latest version for S-TaxPLUS is “04/23/12″ and the most recent version for S-TaxPro is “05/09/12″.

The sales and use tax rates for the 2nd Quarter of 2012 have changed in a few counties:
Effective April 1st
* 011 BIBB Rate is 3% LSE (7% total)
* 041 DADE Rate is 2% LS (6% total)
* 114 PIKE Rate is 2% LS (6% total)
* 140 TREUTLEN is 2% LE (6% total)
Motor fuel rates have not changed for this quarter.

More changes for ST-3 “paper filers”
The DOR has decided to accept the ST-3 forms without the previously required rounding.

To that end, we have changed the print menu back to the “2-column” format that had always been used in the past since we no longer need separate print options for the rounded vs. the non-rounded versions. While we are not privy to the reasons for either change, we expect that you will appreciate the fact that it has been simplified once again.

IMPORTANT NOTE for those who report Inventory Withdrawal Use Tax (Reason Code #2):
There is an issue with the GTC software regarding the reporting of this form of Use Tax. They are aware of the issue and are working on a solution. As soon as this solution is announced, we will implement it into S-Tax and send another update. If you need more information on this, please contact us and we will explain it more fully.

We continue to work to improve the software! As each significant update is finished and tested, we will send that out with notes regarding what has changed and whether you should update your software if it applies to you.

We have spent a considerable amount of time and money to become fully certified by the DOR as an Approved Software Vendor for e-file and e-pay for sales tax.

This means that you can take the returns that you create in S-Tax software and upload them directly to the GTC system, which is a huge time-saver over the GTC system – particularly for complex sales tax returns! If you haven’t already tried this upload feature, I encourage you to try it now.

We have created a simple explanation of the set up and the steps you will use, available to you at:
www.staxpro.com/files/efile.pdf

The GTC website has a training video that shows how simple this process is – you can view it here

The GA DOR requires certain fonts be used in order for our forms to be certified.

Network and server software installations please take note: If you install the S-Tax software onto your server and have your workstations launching the software from a “shared” copy then, your workstations may not have the fonts installed on them. The fonts are installed onto the workstation from which you run your updates only since the update program can only register the fonts into the copy of Windows running on that workstation.

We have created a utility program that will correctly install the necessary fonts on all versions of Windows – XP, Vista, and Windows 7. This program is included with the installation and update programs – it is in your same folder as the S-Tax programs. You may run this utility as needed as it only installs fonts – nothing else.

If you prefer, you may download it at: http://www.staxpro.com/downloads/S-TaxUtility.exe

Save it to your desktop and run it.

If you have a client who has moved to another county but has most of the same assets, you can still use the features of S-TaxProperty to expedite the preparation of their return for their new county by copying the return from their old county. Here are the steps:
Changing the county for a Property tax return
1)	First roll their 2011 forward so that a 2012 return is created for their previous county (which you probably will not use)
2)	Go to the client’s record (do NOT change the county here yet)
3)	Click Returns and then click Property
4)	In the next screen that displays the year and county, change the county to be their new county
5)	Click “Yes” when you see the prompt asking if you want to copy the data into a return for the new county – a 2012 return will be created for the new county from their existing data
6)	Now, you can go back into the client records and change their home county.

We now offer payment through credit cards – Visa, MasterCard, American Express, and Discover!
We are delighted to announce that LuAnn Brown has joined our staff to assist with our credit card renewals (in addition to her many other talents)!

You may send your renewal with credit card payment information by mail or fax at 706-534-9417. We encourage you to use one of these options though we can take it over the phone. Our telephone traffic is usually quite high during this time of year so, you may be better served if you can use the fax option. Never send your credit card info via email!
We are taking all precautions to safeguard your credit card information and sending your account number through the body of an email is never a good idea. You may attach a scanned copy of your order through email for some security but fax is still the safest route.

We have been working hard all year to improve the system of downloading your updates and it has been quite popular. The downloads are smaller and faster and we can provide you with virtually instant access to the very latest improvements to the software.

While we continue to offer the option of getting your updates on CD, we encourage everyone to try the option of getting your downloads from the internet. This year, we’ve experienced quite a few CD deliveries that have been damaged in the mail. While we are happy to replace the damaged disks at no charge to you, it does result in an inevitable delay.

Though we charge an extra $25 for the CD delivery option, this is definitely not a “profit center” for us! The costs of producing, packaging, and mailing the CDs continues to rise so, if you have never tried the download option then perhaps you’ll consider it – save a little money and get your updates a couple of days sooner, too!

Sales Tax on the CD option: Georgia law requires that we collect and remit sales tax on the FULL PURCHASE PRICE of software delivered on tangible media.
To calculate the sales tax due if you choose the CD delivery option, you must add the subscription price + $25 and calculate your sales tax (using your local rate) on the total of the subscription plus the CD delivery charge.

No sales tax is required on software downloaded from the internet. We do not require the $25 charge on subscribers of only the S-TaxProperty software as there are no quarterly updates but you must still include sales tax on the subscription price if you want a CD as this triggers the tangible media requirement. We apologize for the confusion but we are simply complying with Georgia law.
